The difference between the summary PDF and the detailed Excel, and who should get which.
There are two separate outputs for the application list, and the difference between them is personal data. The split is deliberate.
Two outputs
- Summary PDF
- The numbers a stakeholder asks for: how many applications, in which state, how many teams, how many people per institution. Carries no personal data.
- Detailed Excel
- The operational list: name, email, phone, team. For badges, catering counts and phone calls. Carries personal data.

Where personal data sits
Why institution names stay
Institution names stay in the summary PDF — a legal entity's name is not personal data, and "how many applications came from which institution" is exactly what a stakeholder asks. However, a name and a headcount never appear on the same row: in a one-person institution that would be an indirect identifier.
Who gets which
- Sponsors, stakeholders, management reporting → summary PDF.
- Registration desk, catering, transport → detailed Excel.
- When in doubt, hand over the summary PDF; give the detailed Excel only to the person whose job needs it.
Survey outputs
Survey results can also be downloaded as Excel. The file carries no identity in any participation mode: only completion time, duration and the answers.
